Flatra — Privacy Policy

Flatra ("we", "our", or "the app") is an operating system for apartment associations. It helps a residents' association (managed by its secretary) run day-to-day operations such as maintenance dues, water-meter readings, bills, announcements and resident/tenant records. This policy explains what personal information the app collects, why we collect it, and how you can have it removed.

Who this app is for

Flatra is used by three kinds of people within an apartment association: the secretary/admin, flat owners, and tenants. You are added to an association by its secretary or by a flat owner; the app is not a public sign-up service.

Information we collect

• Mobile number — used as your login identity and to send you a one-time password (OTP) by SMS.
• Name and flat/unit details — the flat you own or rent, your role (owner/tenant) and association membership.
• Association & billing data — maintenance charges, payments, water-meter readings and dues linked to your flat.
• Photos / images — photos you or your secretary upload or capture with the camera, such as bill receipts, complaint photos, event photos or a profile picture. The camera is used only when you choose to take a photo.
• Documents — reference files (images, PDF or Excel) your secretary attaches to association fund records.
• Location (optional) — only if you tap “Use my current location” while registering your society, we capture your position once to pin the building on the map. Location is never collected in the background and you can submit the form without it.
• Content you post — announcements, complaints, poll votes and comments, visible to members of your association only.
• Basic technical data — standard request information (such as timestamps) needed to operate and secure the service.
• Usage analytics — which screens and features are used (for example "maintenance generated" or "complaint raised"), processed by Mixpanel acting as our service provider, so we can improve the app. We do not send your bills, messages or photos to analytics.

Voice input: when you tap the microphone to dictate text, speech is converted to text by your device's own speech service (for example Google's or Apple's). Flatra never receives, records or stores your audio — only the final text you choose to submit.

We do not track your location (the one-time, optional building pin above is the only location use), and we do not collect contacts or advertising identifiers. The app contains no third-party advertising.

How we use your information

• To authenticate you (OTP login) and keep your account secure.
• To show you and your association the correct dues, bills, readings, announcements and records.
• To let your association's secretary manage the building's operations.

We do not sell your personal information, and we do not share it with third parties except the service providers that make the app work (see below).

Service providers

• Amazon Web Services (AWS) — hosting, database and file storage for the app's data.
• SMS OTP provider (e.g. Equal / Fast2SMS) — to deliver your one-time login code to your mobile number.
• Mixpanel — product analytics (screen and feature usage), so we can understand and improve the app.

These providers process data only to provide their service to us.

Data security

Data is encrypted in transit (HTTPS/TLS). Login codes are stored only in a hashed form and expire after a short time. Access to association data is restricted by role.

Data retention

We keep your information for as long as your flat is active in an association, so the association's records (dues, payments, history) stay intact. When you ask us to delete your data, we remove it as described below.

Deleting your data

You can request deletion of your account and personal data at any time. See our Data Deletion page for how to request it and what is removed.

Children

Flatra is intended for adults who manage or reside in an apartment association. It is not directed to children.

Changes to this policy

We may update this policy from time to time. The "last updated" date above will reflect any change.
